Use case: Multi-location businesses

Issue reporting for multi-location businesses

Multi-location issue reporting means every site sends its problems to one shared queue instead of a group chat. With GoReportIt, staff at each store, restaurant or branch report an issue from their phone in seconds, the central office or IT team triages and assigns it, and the person who reported it can see where it stands until it is fixed.

It is built for the shape of a multi-site business: many people who report, a few people who fix. You pay only for the few.

Why group chats stop working past a few sites

Requests scroll away

A broken freezer reported at 9am is forty messages up by lunch. Nothing in a chat says whether anyone picked it up, so the store asks again, and again.

Nobody owns it

In a group, everyone sees the message and everyone assumes someone else has it. A ticket has one assignee, and unassigned work is a filter, not a guess.

No record afterwards

When the same till fails for the third time, a chat cannot tell you it is the third time. Every ticket keeps its history, its photos and how it was resolved.

How it works across your sites

  1. 1Model your sitesSet up each brand or franchisee as a company and each store or branch as a group within it.
  2. 2Staff report from the shop floorA title, a category and a photo or video from a phone. Reporter accounts are free and unlimited.
  3. 3One central queueHead office filters by company, site, category or priority, assigns an owner and replies on the ticket.
  4. 4Urgent goes to on-callHigh and urgent tickets reach whoever is on call for that category, around the clock.

What it looks like in practice

A retail group with 10+ sites and 80+ staff, most of them nontechnical, moved from group chats to GoReportIt in a single afternoon. After one month, requests that had to be chased twice fell from 63% to 8%, and average time to close fell to 2 days.

Frequently asked questions

Can store staff report issues from their phones?

Yes. GoReportIt runs in the phone's browser and can be added to the home screen like an app, so there is nothing to install from an app store. Staff can attach photos or a short video to show the problem.

How do we handle maintenance requests for multiple locations?

Each site is a group, and maintenance is a category. A request from any site lands in the same queue tagged with its site and category, so the facilities team can sort by location, see what is unassigned and close each one with a note on how it was fixed.

Does it work for franchises?

Yes. Set up each franchisee as a company with its sites as groups. Reporters only ever see the tickets they raised themselves, and the central support team sees which franchisees and sites report the most.

Can an area manager see only their own sites?

Yes, as an agent. An agent can be limited to specific groups and categories, so an area manager works a queue of just their sites while head office sees everything.

What does it cost for a business with many sites?

EUR 5 per month for each agent or admin who works the queue. The people who only report issues are free and unlimited, so adding sites and staff does not add to the bill.
